Microsoft 365 makes collaboration easy. Without governance, it also makes it easy to create abandoned Teams, duplicate SharePoint sites, unmanaged sharing links, and unclear ownership.
Governance does not have to slow people down. A few agreed rules can keep the environment useful, secure, and understandable.
Define Who Can Create What
Decide who may create Teams, Microsoft 365 groups, SharePoint sites, and guest accounts. Some organizations allow broad creation with automated controls; others use a simple request process. The right choice depends on size, risk, and support capacity.
Require Owners
Every collaboration space should have at least two responsible owners. Owners approve membership, review guest access, organize content, and confirm whether the workspace is still needed.
Use Naming and Lifecycle Rules
- Create names that identify the department, project, or purpose.
- Set expiration or review dates for temporary workspaces.
- Archive completed projects rather than leaving them active forever.
- Remove access promptly when employees or vendors leave.
- Document where official records should be stored.
Control External Sharing
External collaboration can be valuable, but it should be intentional. Define which sites may share outside the organization, how guests are verified, and how often their access is reviewed. Avoid anonymous links for sensitive or long-lived content.
Protect and Recover the Data
Apply retention, sensitivity, auditing, and backup based on the information being stored. Do not rely on individual employees to make every protection decision correctly.
