Classify Vendors by Impact
Not every vendor needs the same review. Focus first on providers that store sensitive data, connect to networks, manage administrator accounts, process payments, support essential services, or could interrupt operations if they fail.
Ask the Useful Questions
- What data will the vendor access, store, or transmit?
- How are accounts protected and logged?
- Which subcontractors or hosting providers are involved?
- How does the vendor report and respond to security incidents?
- How is data returned or destroyed when the relationship ends?
- What backup, recovery, and service commitments are documented?
Put Expectations in the Contract
Security promises should not live only in a sales presentation. Contracts should address confidentiality, breach notification, data ownership, acceptable use, availability, termination assistance, and responsibility for subcontractors. Legal counsel should review language appropriate to the organization.
Control Access
Give vendor accounts only the permissions they need, require multi-factor authentication, and avoid shared credentials. Record who approved access and when it should expire. Remove access promptly when a project or relationship ends.
Review Critical Vendors
Risk changes as services, data, and ownership change. Review high-impact vendors periodically and maintain current contacts for both routine support and emergencies.
