Hardware failure, ransomware, accidental deletion, fire, and severe weather can all interrupt operations. The right question is not simply, “Do we have backups?” It is, “Can we restore the systems our people need, in the order they need them, within an acceptable amount of time?”

Know What Must Come Back First

List your critical services and rank them. Email may matter, but payroll, dispatch, permitting, financial systems, line-of-business applications, or shared files may be even more urgent. Identify the people who own each system and the maximum downtime the organization can tolerate.

Use More Than One Layer

A resilient design keeps recoverable copies separated from the systems they protect. That may include local recovery for speed, encrypted offsite storage for a building-level disaster, and protected cloud copies that ordinary user accounts cannot delete.

Microsoft 365 is a cloud service, but that does not automatically make every deleted or encrypted item recoverable forever. Email, SharePoint, OneDrive, and Teams data need a retention and backup strategy that matches your organization’s obligations.

Test the Restore

• Restore a sample file every month.
• Test a full server or application recovery on a planned schedule.
• Confirm that credentials, encryption keys, and vendor contacts are available during an emergency.
• Record how long recovery actually takes.
• Fix gaps while the exercise is controlled—not during a crisis.

Write Down the First Hour

Your plan should say who declares an incident, who contacts the IT team, who communicates with employees, and who has authority to approve emergency purchases or outside support. Keep a copy somewhere accessible even when normal systems are offline.
